How to Convert Word (DOCX) to PDF Without Breaking the Layout

October 8, 2026

Short answer: if you have Word, use File → Save As → PDF, because it uses Word's own layout engine and is the most exact. If you do not have Word, or you are on a phone or a borrowed computer, upload the DOCX to Ident Convert, choose PDF and download it. Below is how to get the best result either way and what to check before you send it.

Convert DOCX to PDF

Why send a PDF instead of a DOCX?

A Word document is built to be edited. It reflows when the fonts, the page size or the program change, so it can look different on another computer. A PDF is fixed: every line and picture stays in the place it was in when the file was made. Compdf's explanation describes this as "digital paper" against a document that flows.

That is why you send a PDF when it must look exactly right, such as a CV, an invoice, a contract or an application form, and a DOCX when the other person needs to edit it.

How to convert DOCX to PDF online

  1. Open the Ident Convert converter and upload your DOCX.
  2. Choose PDF as the output.
  3. Download the PDF.

What you get:

  • The layout, headings, lists, tables and images in place.
  • Headers, footers and hyperlinks kept, with text that stays selectable and searchable.
  • Files up to 300 MB.

What to know:

  • Comments in the margin are not part of the PDF.
  • Fonts the server does not have are replaced by similar ones, so a line or page break can move slightly. More on this below.

The same works for older and related Word formats: DOC to PDF, DOCM to PDF, DOTX to PDF and ODT to PDF.

Why a line or page can shift

This is the most common problem when converting Word files anywhere that is not Word. A document is laid out using the exact width of every letter in its fonts. If the converter does not have your font, it uses another one, and when the widths differ, lines wrap in different places and everything below moves.

The industry's fix for the most common case is metric-compatible fonts: open fonts designed so each letter has the same width as a Microsoft font. Carlito matches Calibri and Caladea matches Cambria, so text wraps and paginates the same way even though the letter shapes differ a little. Fonts with no such twin, such as a paid or decorative font, are the ones that can shift.

How to avoid trouble:

  • Use common fonts (Calibri, Arial, Times New Roman, Cambria) in documents you plan to convert.
  • Do not rely on a manual page break placed to "fix" a layout. Use real page breaks or "keep with next" settings instead.
  • Open the PDF and check the first and last page, plus any page with a table or a picture.

Checklist before you send the PDF

  1. Page count. Is it the same as in Word?
  2. Tables and pictures. Anything cut off at the edge or moved to the next page?
  3. Headers, footers and page numbers. Present and in the right place?
  4. Links. Click one to be sure it works.
  5. Hidden information. Remove comments and tracked changes in Word first, because a PDF is easy to forward.

DOCX to images instead

Sometimes a picture of a page is what you need, for example to paste a page into a presentation. DOCX to JPG and DOCX to PNG turn each page into an image, up to 100 pages at a time. The text in an image cannot be selected or searched, so use PDF when you need that.

Frequently asked questions

Will the PDF look exactly like my Word file?

Almost always for normal documents. Layout, tables and pictures carry over. Small differences are possible when the file uses a font the server does not have.

Can I edit the PDF afterward?

Not easily. A PDF is meant to be read, not edited. If you need to change something, edit the DOCX and convert again. If all you have is the PDF, see our guide to converting PDF to Word and what is realistic there.

Is it safe to convert a confidential document online?

Ident Convert processes the file only for the conversion and removes it afterward, as described in the Privacy Policy. For very sensitive documents, Word's own Save As PDF keeps the file on your computer.

Does the PDF keep hyperlinks?

Yes, links in the document stay clickable.
