PRIVACY POLICY
Last updated: November 2026
Ident Convert is built around a simple principle — your files are yours. We only process them when you ask us to identify or convert them.
This page explains what information we collect, how we use it, and what happens to files you upload to Ident Convert.
01Information we collect
You can use Ident Convert without creating an account, logging in, or providing personal information.
When you use our conversion tools, we receive the file you choose to upload. We use it to identify its format and, when requested, perform the conversion you selected.
We don't ask for your name, phone number, or other personal information to use the core service.
If you contact us through our Contact page, we receive the information you choose to include in your message. We use that information only to respond to your request and handle the issue you contacted us about.
Our hosting and security providers may also automatically process technical information such as your IP address, browser type, device information, pages visited, and basic usage or error information.
Hosting providers (Vercel, Railway) may keep their own access logs, which can include IP addresses, under their own privacy policies.
When you send a file for conversion, our backend also sees your IP address. It keeps the address in memory only, to limit how many conversions one visitor can run in a short time (a rate limit), for up to one hour, and passes it to Cloudflare as part of the bot check described in section 05. Our own code does not store your IP address in a database or write it to application logs.
02Files and conversions
Files are processed only to provide the service you requested.
Depending on the file type and conversion, your file is processed either by our backend processing infrastructure or, for some formats (CSV, JSON, XLSX, fonts, and small archives up to 4 MB), directly by the website's own serverless functions. We use tools such as FFmpeg, LibreOffice, Pandoc, libvips, ImageMagick, and 7-Zip to process supported media, image, document, and archive formats.
We don't use your uploaded files for advertising, and we don't sell or distribute them to third parties. We also don't use the contents of uploaded files to build user profiles.
How long are files kept?
Uploaded files are held in memory only for the duration of the request. During conversion, the file is placed in a temporary working directory created specifically for that request, and this directory is deleted as soon as the conversion finishes, whether it succeeds or fails. The only exception is an abnormal termination of the server process (for example, a crash or the process being killed), in which case leftover temporary files may remain on the server. When the server restarts, such temporary files disappear. Files are never stored in a database or kept for later.
We don't keep a copy of your files after the conversion is complete, subject to temporary technical backups or logs maintained by our infrastructure providers.
If a conversion fails, a short technical error message may be written to server logs and may be included in an alert sent to us (see section 05). These messages come from the conversion software and can occasionally contain a short fragment of the file's content or name.
03Cookies
Ident Convert uses as few cookies and similar technologies as possible, only to keep the website and its protection working.
We do not use analytics cookies. Cloudflare Turnstile may set technical cookies to protect against bots. See Cloudflare's privacy policy for details.
If you switch between light and dark mode, your choice is saved in your browser's local storage on your device. It is not sent to us.
You can manage or block cookies through your browser settings. Some functionality may be affected if cookies are disabled.
04Advertising
Ident Convert is currently provided as a free service.
If we introduce advertising in the future, this Privacy Policy will be updated to explain what advertising partners we use, what information they may collect, and how you can manage advertising-related cookies or preferences.
05Third-party services
Ident Convert relies on several external services to operate the website and process files. These currently include:
- Vercel — website hosting and frontend infrastructure; also processes part of the conversions (CSV, JSON, XLSX, fonts, and small archives up to 4 MB)
- Railway — backend and file-processing infrastructure
- Cloudflare Turnstile — bot protection (IP address, TLS fingerprint, User-Agent header, and site key)
- Telegram — alerts to us about server failures
- Formspree — processes messages submitted through our Contact form
- FFmpeg — video and audio processing
- LibreOffice — document processing
- Pandoc — document and format conversion
- libvips and ImageMagick — image processing
- 7-Zip — archive processing
These providers may process technical information or files as necessary to provide their services. Each provider operates under its own terms and privacy practices.
To protect the service from automated abuse, we use Cloudflare Turnstile. When you convert a file, a verification script is loaded from Cloudflare, which may process your IP address, TLS fingerprint, User-Agent header, and our site key, along with other signals needed to tell visitors from bots. The resulting verification token is sent to our server, which checks it with Cloudflare together with your IP address. Cloudflare handles this information under its own privacy policy.
We use Telegram to send ourselves alerts when the server fails. An alert contains the type of error, the file formats involved, an approximate size range, and a short technical error message. It does not include your IP address, file name, or file content, but because the error message comes from the conversion software, it may occasionally contain a short fragment of the file's content or name. These alerts are sent only to us.
If you write to us through the Contact form, the email address, topic, and message you enter, together with a fixed subject line added by the website, are sent to Formspree, which delivers them to us.
06Security
We take reasonable measures to protect information processed through Ident Convert.
Connections to the website use HTTPS/TLS encryption. We also limit how many conversions one visitor can run in a short time and use a bot check to reduce abuse of the service.
However, no online service can guarantee complete security. For this reason, we recommend that you avoid uploading highly sensitive or confidential files unless you are comfortable with the processing described in this policy.
07Your rights
Depending on where you live, you may have rights regarding your personal information under applicable privacy laws, including the GDPR. These may include the right to:
- Request access to personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information
- Object to or restrict certain processing
- Request a copy of your information where applicable
- Withdraw consent where processing is based on consent
If you have a privacy-related request or concern, contact us through our Contact Us page.
Users in the European Union and European Economic Area may also have the right to contact their local data protection authority.
08International data processing
Ident Convert uses the following third-party providers: Vercel (website hosting and part of file processing), Railway (backend file processing), Cloudflare (bot protection), Telegram (server failure alerts), and Formspree (Contact form). These providers may process information in countries outside your country of residence, including the United States.
Where required by applicable law, we take appropriate measures to protect personal information when it is transferred internationally. The exact location of processing may depend on the infrastructure provider and the service involved.
09Children
Ident Convert is not directed at children under the age of 13.
We do not knowingly collect personal information from children under 13. If you believe that a child has provided personal information to us, please contact us so we can review the situation and take appropriate action.
10Third-party websites
Ident Convert may contain links to external websites or services.
Those websites operate independently from Ident Convert and may have their own privacy policies. We are not responsible for the privacy practices of third-party websites.
We recommend reviewing their privacy policies before providing them with personal information.
11Changes to this policy
We may update this Privacy Policy when Ident Convert changes, new services are introduced, or privacy requirements change.
When we make changes, we'll update the Last updated date at the top of this page.
For significant changes, we may also provide additional notice on the website.
